Administration Specialist

As a Contract Logistics Specialist at Kuehne+Nagel, you will manage end-to-end warehousing operations for our customers. By doing so with precision, you not only contribute to the success of your team, but also to the day-to-day operations and success in the warehouse and distribution centres. For example, storing and delivering delicate flowers and fresh ingredients to local stores for everyday lunches and family celebrations. The Administrative Specialist will work as the primary contact for the front office, we will count on your positive, can-do attitude and ability to handle multiple conflicting priorities while meeting tight deadlines. You will handle invoicing, accounts payable, purchase orders (PO), provide support for month-end financials, and assist with financial reporting. You will also provide general administrative support such as event planning. The right candidate will have a continuous improvement mindset and a tendency towards 5S in the workplace. You will work Monday- Friday, from 8-5pm.

How you create impact

  • Manage purchasing for office and facility supplies, ensuring appropriate inventory levels and timely replenishment
  • Support invoicing and accounts payable activities, maintaining accuracy and compliance with financial procedures
  • Assist with month-end financial processes, including data collection, reconciliation, and preparing routine reports
  • Maintain organized records, documentation, and filing systems in alignment with internal controls and audit requirements
  • Serve as the primary point of contact for visitors, vendors, and front-office inquiries, ensuring a professional and welcoming experience
  • Coordinate logistics for meetings and onsite events, including scheduling, materials preparation, catering, and communication with internal and external partners
  • Contribute to 5S and continuous improvement initiatives to drive administrative efficiency and workplace organization
  • Support general administrative tasks such as preparing correspondence, updating spreadsheets, and assisting leadership with routine requests
  • Model and promote a culture of belonging in a diverse workforce where all associates feel safe, valued, and included
  • Perform other administrative duties as assigned

What we would like you to bring

  • High school diploma or equivalent
  • 2+ years of administrative experience in a warehouse, distribution, or similar environment
  • Experience with invoicing, accounts payable, purchase orders, and basic financial reporting
  • Working knowledge of SAP/ERP systems and proficiency with Microsoft Office (Excel, Outlook, Word)
  • Strong organizational and communication skills with the ability to manage multiple priorities
  • Attention to detail and a continuous‑improvement mindset; a business‑related degree is a plus
