It's more than a job

 The Inventory & Admin Support role provides comprehensive administrative and operational support ensuring all activities fully comply with Good Distribution Practice (GDP) standards. 

This role is responsible for ensuring 100% inventory accuracy through rigorous investigation and stock-counting protocols, maintaining transparent communication with operations and customer service team as well as the quality team, and supporting the warehouse management team in meeting strict regulatory and quality standards. This position acts as a critical link between the physical floor operations and the digital accuracy of the Ciel WMS and other/ NON- WMS reporting systems. Maintain inventory accuracy and integrity in line with contractual requirements – minimising errors and resolving such errors in a timely and efficient manner. 

How you create impact

  • Knowledge of Good Distribution Practice (GDP)
  • Lead detailed inventory investigations into discrepancies, including third counts, damages, and missing stock.
  • Learn and strictly follow pharmaceutical disposal processes to ensure compliant handling of expired or rejected products.
  • Work closely with Operations and the Quality Team to ensure all stock-related activities meet industry standards.
  • Process returns, ensuring all returned goods are inspected, documented, recorded, processed accurately, and handled in line with customer expectations and system protocols.
  • Ensure damaged stock is quarantined and made unavailable in WMS in a timely and traceable manner.
  • Support inventory accuracy by ensuring proper labelling and assisting in cycle counts and stock investigations as required.
  • Monitor inventory movement across departments and raise quality event for deviations or discrepancies in process or system handling.
  • Serve as a primary point of contact for team leaders and management in relation to stock issues, providing regular updates and resolving queries.
  • Collaborate daily with the Warehouse Manager to align on operational priorities.
  • Use professional email etiquette to manage expectations and documentation.
