Project Logistics Billing Specialist

This role supports revenue assurance by validating operational documentation, coordinating with operations and finance teams, and ensuring invoices comply with contractual and customer requirements. The Billing Specialist plays a critical role in maintaining billing accuracy and supporting cash flow across complex project logistics operations.

How you create impact

Billing & Invoice Management

  • Prepare and issue invoices for project logistics services including vessel chartering, port operations, heavy-lift transport, and multimodal project shipments.
  • Ensure billing aligns with contract terms, milestones, and agreed project scope.
  • Verify billing accuracy based on operational documentation and cost records.

Revenue Assurance

  • Ensure all billable activities are captured and invoiced in a timely manner.
  • Monitor unbilled revenue, billing backlog, and support revenue recognition processes.
  • Coordinate with finance teams to support month-end closing and revenue reporting.

Documentation Validation

  • Review supporting documents required for billing, including:
  • Statements of Facts (SoF)
  • Daily Progress Reports (DPR)
  • Operational reports and milestone confirmations
  • Ensure documentation meets internal and customer compliance requirements.

Stakeholder Coordination

  • Work closely with operations, project teams, and vendors to obtain billing documentation and resolve discrepancies.
  • Coordinate with customers regarding invoice queries and clarifications.

Dispute & Issue Resolution

  • Investigate and resolve billing discrepancies or disputes.
  • Track billing issues and ensure timely resolution to avoid delays in revenue collection.

Compliance & Reporting

  • Maintain proper billing records and documentation for audits and internal reviews.
  • Ensure compliance with company policies, contractual terms, and financial procedures.

What we would like you to bring

Education

  • Bachelor’s degree in Finance, Accounting, Business Administration, Logistics, or related field.

Experience

  • Minimum 2–4 years of experience in billing, finance operations, or revenue control.
  • Experience in logistics, freight forwarding, project logistics, or shipping industry is preferred.

Technical Skills

  • Strong Excel skills and attention to financial detail.
  • Familiarity with billing processes, revenue recognition, and financial documentation.

Competencies

  • Strong attention to detail and accuracy.
  • Good coordination and communication skills with operational teams.
  • Ability to manage multiple tasks and deadlines in a fast-paced logistics environment.
  • Analytical mindset with problem-solving capability.
