Local Facility Management Coordinator

As a Local Facility Management Coordinator at the Bensenville site, you'll be the first point of contact for visitors, customers, and employees. The facilities team is growing and in this role you'll have a focus on receptionist/facilities management duties including ordering supplies in the break room and office, employee engagement/seasonal event coordination and catering, conference room set-ups, and accounts payable duties.

How you create impact

Finance & Procurement

  • Process and track payables and purchase orders in alignment with company policies, transferring e-bills, reviewing outstanding payables, and tracking disputes.
  • Liaise with vendors and finance teams to ensure timely payments and accurate documentation.
  • Maintain records of office expenditure.
  • Main liaison for facility management service suppliers (e.g. JLL).

Office Supplies & Equipment

  • Manage inventory and ordering of office supplies and consumables.
  • Coordinate equipment maintenance and service schedules for office machinery and facility systems.
  • Ensure workspaces are functional, clean, and well-stocked.
  • Maintain office floor plans and provide upon request.
  • Order office supplies as needed and maintain supply closet well stocked and organized.
  • Implement new suppliers and oversee account for national conference call vendor(s).
  • Oversee and track utility costs.

Security

  • Directly or in alignment with Station Managers, monitor office security systems (CCTV) and access controls, first point of contact for alarm company, maintain records of service.
  • Main contact for Security Service Providers.
  • Align with Station Manager or directly coordinate office functions - visitor planning, meeting room scheduling and set-up.
  • Support investigations and report any security incidents to Director of Security.

Partnering with QSHE Team

  • May be required to complete monthly reporting of utilities and usage data.
  • Participate or coordinate emergency preparedness and safety training sessions, such as evacuation or emergency drills, when requested.
  • May be required to maintain update emergency response plans.

Project Coordination

  • Assist in planning and executing office and facility-related projects (e.g., renovations, relocations, upgrades).
  • Track facility-related project timelines and deliverables.

Employee Engagement & Support

  • Organize office lunches, employee/team-building activities, and wellness events.
  • Provide initial support and guidance to employees in need.
  • Support human resources-related responsibilities, including onboarding logistics, policy communication, and direct employee inquiries to HR.

What we would like you to bring

· 1+ years of office administration or workplace experience coordination preferred.
· Time management and accountability/ownership skills to meet project deadlines.
· Proficient with Microsoft Office including Excel.
· Collaborative team environment - Excellent organization, communication, and multi-tasking skills. 
· Bachelor’s degree, a plus.

Base wage is part of a competitive total rewards package that includes health and welfare benefits, a 401k retirement savings plan, tuition reimbursement, and incentive compensation for eligible roles. Individual pay may vary from the target range and is determined by a number of factors including experience, skills, job location, internal pay equity, and other relevant business considerations.
