How you create impact
The main goal of the HR Services Specialist is to provide end-to-end support for HR service delivery across the employee lifecycle, with a strong focus on onboarding, HR transactions, and day-to-day employee support for US and Canada.
This role is key to ensuring a positive employee experience by managing HR systems, resolving employee inquiries, supporting HR processes and transactions, and partnering closely with internal teams to ensure data accuracy, compliance, and operational efficiency.
Key Responsibilities
- Provide general HR services support and troubleshooting for employees in the US and Canada, responding to a wide range of HR-related inquiries in a timely and professional manner.
- Support onboarding and preboarding processes, ensuring a smooth transition for new hires through accurate system updates and cross-functional coordination.
- Execute and maintain HR system processes, including data maintenance, cleanup activities, and quality checks across platforms.
- Support the background check process, ensuring accurate tracking, follow-ups, and issue resolution.
- Manage HR transactions and requests, including hire processing, start date updates, employee changes, and ad hoc HR requests.
- Coordinate and process candidate and employee updates, including sign-on bonus administration when applicable.
- Maintain and update employee and new hire data in internal HR systems, ensuring data integrity and compliance.
- Generate, maintain, and monitor New Hire and HR Service reports, identifying trends, issues, or gaps.
- Perform quality control activities, including validation of badge pictures and required documentation.
- Collaborate with IT and system support teams, raising, tracking, and following up on tickets related to onboarding and HR platforms.
- Support ongoing activities within internal HR onboarding and employee service platforms.
- Coordinate, attend, and lead huddle boards, supporting communication, workload visibility, and continuous improvement.
- Proactively inform the HRS Team Lead of service peaks, valleys, and capacity trends, and support workload planning accordingly.
- Coordinate training plans with the Team Lead and deliver trainings when required.
- Maintain proactive and consistent communication with the HRS Area Business Partner, HRS Process Specialist, and HRS Team Lead.
- Support quality checks and audits, including follow-ups on Quality Check Samples when required.
- Contribute to continuous improvement initiatives by identifying pain points, proposing solutions, and supporting process enhancements within HR Services.
What we would like you to bring
- Strong analytical thinking skills, with the ability to assess situations, identify patterns, and support data-driven decisions.
- Solid problem-solving abilities, capable of troubleshooting a wide range of HR-related inquiries and operational issues.
- HR studies or previous HR experience preferred, but not required; practical experience in HR Services, Shared Services, or administrative support is a strong plus.
- Advanced English proficiency, both verbal and written, required to effectively support employees and stakeholders in US and Canada.
- Intermediate level of Excel, with the ability to manage data, reports, and basic analysis.
- High attention to detail, ensuring accuracy and quality in HR transactions, system updates, and documentation.
- Strong communication skills, with the ability to explain processes clearly and professionally to employees and internal partners.
- Proven team player, able to collaborate effectively within HR Services teams and cross-functional environments.
- Ability to adapt to change and actively support change management initiatives within a dynamic, fast-paced environment.
- Customer-service mindset, focused on delivering a positive and consistent employee experience.
Work schedule: Could vary depending on business needs.
This position is subject to a rotating schedule and shift, which may vary between day, night, or mixed shifts. Your days off will also be assigned by the company, and both your schedule and days off may be modified with a minimum notice of five (5) business days.
