How you create impact
The HR Services Process Specialist plays a critical role in analyzing, maintaining, and improving HR processes. This position is responsible for driving continuous improvement initiatives, ensuring process standardization, and monitoring performance through KPIs related to quality, productivity, and response times. The role supports operational excellence by conducting process analysis, identifying improvement opportunities, and maintaining documentation aligned with QSHE and KNPS standards. Additionally, the specialist collaborates with cross-functional teams to implement best practices, optimize workflows, and enhance service delivery. Some of the position expectations are the following:
- Analyze map and document HR processes using tools such as flowcharts and process measurements.
- Identify inefficiencies and improvement opportunities and lead or support improvement projects.
- Perform root cause analysis on service issues and implement corrective action plans.
- Collaborate with CI and RPA teams to drive automation and process enhancements.
- Promote and implement best practices across teams by sharing learnings and benchmarking.
- Create, update, and maintain Work Instructions (WI), Flowcharts (FC), Standard Work Instructions (SWI), and process checklists.
- Ensure all process documentation and training materials are accurate and aligned with QSHE/KNPS standards.
- Manage periodic and ad hoc updates of documentation to reflect process changes.
- Define, track, and analyze KPIs related to quality, productivity, and response times.
- Prepare and maintain weekly quality reports and performance dashboards.
- Monitor workload distribution and identify capacity gaps within teams.
- Work closely with HR Team Leads, Process Managers, and global stakeholders to stay aligned on process updates.
- Support idea generation initiatives and coordinate continuous improvement activities within the HR Services team.
- Assist in coordinating CI training sessions and employee participation in improvement programs.
- Participate in handling feedback mechanisms (e.g., tips, service feedback).
- Maintain and update HR tracking and reporting tools such as TopDesk, RT Queues, Tableau, BI/BO, KNDocs, and Wiki platforms.
- Ensure accuracy and integrity of data within all systems used for process tracking and reporting.
What we would like you to bring
- Experience in HR operations, shared services, or administrative support roles is a plus.
- Advanced English both on verbal and written.
- Intermediate Excel Level.
- Knowledge of process improvement methodologies (Six Sigma, White Belt certification preferred).
- Experience in process mapping, KPI analysis, and continuous improvement initiatives is highly desirable.
- Strong analytical and problem-solving skills.
- Proactive mindset with a focus on innovation and continuous improvement.
- Excellent organizational and time management abilities.
- Customer service orientation and stakeholder management skills.
- Team player with high levels of responsibility, motivation, and trustworthiness.
Work schedule: Monday to Friday 7:45 a.m. to 4:45 p.m. Hybrid work model.
This position is subject to a rotating schedule and shift, which may vary between day, night, or mixed shifts. Your days off will also be assigned by the company, and both your schedule and days off may be modified with a minimum notice of five (5) business days.
